This form is for Vendor registration for the 69th Annual Ontario Building Trades Convention.

Please read as some things have changed.



Thank you for supporting the Ontario Building Trades upcoming Convention. As such, we would like to confirm your Booth registration and Staff who will be attending. Below will be all of our Convention information.

5:30PM  – 9:30PM Welcoming Reception


Thursday, October 15, 2026          

10:00AM  – 4:30PM Convention Session Day 1


Friday, October 16, 2026

8:00AM  – 12:00PM Convention Session Day 2 (*Delegates Only)



IMPORANT:

For Vendor Attendee Registration, please fill out the details for each attendee, including if they will be attending our Welcoming Reception on October 14th. Accurate numbers are required for food and beverage counts.


Once the Vendor Attendee Registration has been completed and submitted, an email confirmation will be sent to you containing a ticket with a QR code. Have this confirmation ready for onsite registration. Should the registration need to be modified, contact us directly at the contact information listed below.


Each Vendor will be allowed 1-3 attendees to staff their booth. It is recommended that Vendors staff their booth with 2 people.


The booth tables will be approximately 6-8ft long, and each vendor will have 1 table with 2 chairs.

 

If your booth requires an outlet, please let us know in your registration. Please note that we will try our best to accommodate where possible, but it will not be guaranteed. Remember to pack your own extension cord and/or power bar as these will not be provided onsite.



SET-UP/TEARDOWN DETAILS & FAQ:

  • Booth Set-Up on Tuesday

    Tables will be available in the pre function area by 8 am.  They can come anytime and tear down when they are finished (Friday at noon).  They must all be able to carry their items in without assistance. The bellman cannot assist as they are strictly for hotel guests. If they cannot carry their items in, they must contact the hotel to load in through our dock.

  • Booth Set-Up on Wednesday

    We encourage vendor attendees to set up their booths anytime between 10:00am and 3:00pm during the Wednesday Workshop. Booths will be located in the main Convention hallway and will remain securely locked overnight, so your materials will be safe.

  • Staffing Your Booth on Wednesday

    While you’re welcome to staff your booth during the Workshop sessions on Wednesday, there is no expectation to do so. Use this time as needed to get set up or familiarize yourself with the Convention space.

  • Late Arrivals and Thursday Booth Set-Up

    If you’re arriving late on Wednesday or prefer to set up your booth on Thursday morning, we recommend doing so between 7:45am and 9:30am. This way, you’ll be ready to engage with attendees before the Opening Ceremony in the main Ballroom.

  • Viewing Convention Proceedings (Thursday Only)

    Vendor attendees will have the opportunity to view convention proceedings in the main ballroom on Thursday. However, please note that the expectation is for vendors to staff their booths most of the day to connect with attendees.

  • Friday Session for Delegates Only

    The Convention session on Friday will be reserved exclusively for Delegates. Access to the main Ballroom will be restricted.

  • Booth Tear-Down on Friday

    Vendors may begin dismantling their booths on Friday between 10:30am and 11:00am, as the Convention begins to wrap up at 12pm.


HOTEL DETAILS:

You can explore The Westin Ottawa Hotel booking here. For reservations, use the group code: OBT. The group block booking deadline is Sept 22, 2026 - Early booking is strongly recommended.


As the hotel is attached to the Rideau Centre, they have three IMPARK garages nearby. You can find those parking details here. Valet is available through the Westin for a fee of $62.00 CAD daily.



HOTEL SHIPPING DETAILS:

If shipping materials to the hotel:

  • Exhibitors are asked to attach a Westin package label (Download the Package Label here) to any packages being shipped to the hotel. The label must be filled in with all of the information requested in order for the package(s) to be delivered to the correct location.

  • For any international shipping, Capital Customs must be used as the broker in order for the package(s) to be cleared by the hotel. If using any other broker, the shipper must arrange for the customs clearance directly.

  • Handling fees will apply for any incoming packages and will depend on the size of the package. See handling information attached.  

  • If any exhibitors are shipping to the hotel, a signed handling form can be sent directly to Artem Maistrenko at artem.maistrenko@westin.com to arrange prepayment.

  • Once the handling form is received, a credit card authorization link will be sent to provide a credit card for handling fees to each vendor.

  • If a credit card is properly submitted before arrival, Banquets will deliver any package(s) directly to the requested booth/location in time for setup.

  • Any exhibitors that do not submit their credit card before arrival will have to request their packages from Banquets on-site and pay either by credit card on-site or charge to a guest room (if applicable). 

  • For outgoing shipping, pickup must be arranged by the exhibitor from the hotel with a chosen courier. Once packaged and labelled, hotel staff will bring the package(s) down to the hotel loading dock for pickup. Outgoing packages can be left at the exhibitor’s booth at the end of the event or they can notify one of the Banquet staff that it needs to be brought downstairs for pickup.


If loading items in via the loading dock: 

  • Exhibitors must notify Artem Maistrenko at artem.maistrenko@westin.com in advance with an estimated time of arrival. Though the loading dock is operated on a first come first serve basis and a loading bay cannot be reserved, advance notice allows the hotel to prepare for the flow of traffic during busy setup times. 

  • Trucks or delivery vehicles may only remain parked in the loading dock to unload or load their equipment. Parking is NOT permitted in the loading dock. Vehicles can be parked in one of the three garages attached to the Rideau Centre.

  • The use of Westin pallet jacks, dollies, or any additional equipment is not guaranteed. We encourage exhibitors to provide their own equipment should guaranteed use be needed.

  • Load in/out occurring before 7:00am or after 5:00pm may be subject to additional fees.

  • See loading dock information attached with height restrictions, elevator information and directions to the loading dock from Daly Ave.  


ADDITIONAL INFORMATION:

  • We encourage all of our Vendors to join in our Welcoming Reception, held on Wednesday October 14, 2026, at 5:30pm. The Reception is being held in the Confederation Foyer, located at on the 4th floor of the Westin Ottawa.
